IFAS Document Processing Report

From January 1998 to date, Information Technologies has processed 3,489 documents. Of these, 1,392 documents were processed to EDIS, and 2,097 documents were processed to the review site.

Processing Summary:

The EDIS database currently contains 5,180 entries. Of these, 3,248 have Digital Library Numbers (DLNs) that indicate that the document exists or did exist in electronic form. Some of these are no longer supported or are under revision. There are currently 2,900 active electronic documents listed on EDIS.

The librarian has edited EDIS listings for 2,657 IFAS documents.

  • Number of Departmental Editors submitting documents = 3.
  • 1998 SWAT Team varied between 3 and 5 FTE positions (1 FTE supervisor, the rest taggers).

Location of sites to observe status of processing activity:

  • The home page of the EDIS Web Site has a link to lists of new and recently revised EDIS documents.
  • EDIS status of documents can be examined by seaching the EDIS online catalog. If Departments or authors have corrections or questions about their document listings in this catalog, they should contact the EDIS Librarian.
  • Documents undergoing editorial review and approval can be viewed at the Review Site (listed by Departments).
  • If you would like to be notified when New or Revised documents are added to the EDIS database, please contact us.

Procedures and Personnel:

Until the end of October, processing was conducted using 1 FTE coordinator, 1 FTE Senior Computer Programmer/Analyst, and 1 FTE assistant (OPS). The coordinator and programmer had other duties associated with their positions. The OPS assistant was full-time on matters relating to EDIS processing. In October the programmer left the University and the OPS assistant took on many of her processing responsibilities. A 0.5 FTE assistant has been hired.

This year has seen the advent of the new EDIS Web Site and a new processing procedure to display documents in a more familiar html format. This format is being instituted in the Review Site as well.
